Devonshire Pointe Homeowners Association Board Meeting July 16, 2014

Treasurer’s Report:  Marius submitted the financial report.  He went through the finances in detail for the board members.

·         Updated dues status –  2 homeowners are significantly in arrears, two others are paid but did not include the late fees.  The late fees will be billed on their 2015 dues statement.

·         Expenses  thru 7/15 are $12,800 and are on target or slightly below budgeted expenses.

·         Marius will copy all title change notifications to the board members so that everyone is aware of new owners.

Our attorney gave us some guidance on next steps in dealing with the two homeowners that are in arrears – we will wait until their lien filing dates approach and will generate a letter warning them about the option to foreclose on their property.  The communication will go out by certified letter.

 

Maintenance/Landscaping Report: 

·         The wet weather has helped the 8 newly planted trees get established

·         Several old trees need to be removed and replaced in the future

·         Water still pools at Elm road due to the small Granger Paths sidewalk on our property being installed wrong.  The sidewalk should have had a culvert running under it to allow water to run to the drain to the north.  Water is being trapped at the edge of Adams.  The county is aware.

·         Bill’s Sprinkler will look at the heads that cover our annual plantings to assure proper watering

·         Jim & Erik will walk the tree line along Adams and mark any trees that are dying and need possible removal.

 

Social Committee Report:

·         4th of July parade went very well.  We had 51 RSVP’s and over 70 total attendees

·         We would like the committee to plan for a ‘Get to know your neighbor’ event  in Sept/Oct

·         It was suggested that a welcome kit be developed for new neighbors.  Possible contents to include a copy of the covenants, light bulb (post light reminder), trash bag (grass clipping letter), and a $10 gift card for Dairy Queen/Starbucks/McDonald’s

Communication:    

·        David currently has 80 email addresses on file.

·         Ask title companies for new owners email addresses – Marius will ask when responding to title company info requests

·         Laura has homeowner roster started – how do we distribute?  We could send it to those requesting a copy via email.

 

 

Architectural Control:

·         One request for a play set was approved

·         One request for a shed was denied

 

Covenants:

·         Post light initiative was successful.   17 letters handed out in April/May with 15 complying.  The board would like another round of reminders to go out, the 2 that did not comply will get a letter more strongly worded and no light bulb.

 

Additional Discussion:

·         lot 136 has plans submitted but not yet approved

·         lot 85 in being built on by Place Builders as a ‘spec’  house

·         entrance sign boards will be followed up on by Heinz & Carl P. and results emailed to board.  $4000 was allocated for sign board replacement in the 2014 budget.

·         new neighbors welcomed in newsletter – Heinz

·         by-laws allow board to take action regarding our grass clipping issue.   The overall grass clipping issue has greatly improved.

·         Goose Strobes were suggested by a homeowner, the board discussed the info provided by Aquatic Weed Control, ‘testimonial’ by another lake, cost, the manufacturers specs, and voted to not pursue these devices any further.
